How I Prepare for an Event
Every photographer has their own vision for a shot, a unique style regarding color and lighting, and specific techniques that make clients love their work and hire them again and again.
However, style and uniqueness are not enough to become a professional. Just as for a performing artist, preparation is crucial for a photographer.
I never arrive at an event unprepared; working through the details in advance is essential for me. This gives me confidence in my work and ensures I am ready for any unexpected situations.
So, what do I need to know before the event?
First and foremost, I ask the client exactly what they want to see and what is important for them to capture. Every single detail matters. Some prioritize candid moments, while others want portraits of guests posing for the camera; some need to showcase event branding, interior details, and so on.
Before signing the contract, I explain how I work and provide a timeline for delivering the finished material; we also discuss all the important details, such as payment methods, insurance, the use of photos after the event, and so on.
Once I have the event details, I try to visit the venue. If it’s open to the public, I can easily check it out myself; if not, I do some research and look at existing photos of the interior online. This gives me an idea of the lighting conditions, helping me decide which gear to bring.
If I’ve worked at the venue before, the task is even easier, and I can build on what worked well previously to expand my creative approach.
Right before the event, I review the schedule and confirm the details with the client. By this point, I already know exactly what I’ll be shooting and when. Having a clear idea of how the event will unfold helps me shake off the anxiety caused by the unknown. And while that doesn’t guarantee everything will go exactly according to plan, I’m fully confident I’ll get great shots because I’ve already visualized exactly what I want to do and how I’ll do it.
